This policy explains what personal information we collect through hjmsolutions.co.za, why we collect it, how we use and protect it, and what rights you have — in line with the Protection of Personal Information Act 4 of 2013 ("POPIA") and the Electronic Communications and Transactions Act 25 of 2002 ("ECT Act").

2. Personal information we collect
We only collect what we need to run this website and respond to you:
Newsletter sign-up — if you subscribe, we collect your email address and, optionally, your first name. You must actively tick a consent checkbox before your details are submitted.
Direct contact — if you email us, WhatsApp us, or call us, we collect whatever information you choose to share in that conversation (e.g. your name, contact details and the content of your message).
Technical/security information — our newsletter sign-up form briefly records the submitting IP address, solely to prevent spam and automated abuse. We do not use this to identify or track you for any other purpose.
This website does not use tracking cookies or third-party analytics, and does not sell products online, so we do not collect payment card details or online-tracking data.
3. Why we process your information
In line with POPIA's requirement that information be collected for a specific, defined and lawful purpose, we use your personal information only to:
— Send the newsletter you signed up for, and let you unsubscribe at any time;
— Respond to enquiries you send us by email, WhatsApp or phone;
— Keep our records accurate and prevent abuse of our contact/sign-up forms.
We do not use your information for any purpose beyond these, and we do not sell, rent or trade your personal information to third parties.
4. Our legal basis for processing
We process your personal information on the basis of your consent (for the newsletter) or because it is necessary to respond to a request you have made (for direct enquiries), consistent with the conditions for lawful processing set out in Chapter 3 of POPIA.
5. Sharing your information
We do not share your personal information with third parties for their own marketing purposes. Your information may be accessible to service providers who host this website or deliver our email communications on our behalf, strictly so they can provide that service to us, and subject to them keeping it secure.
6. Retention
We keep your information only for as long as it's needed for the purpose it was collected — for example, newsletter details are kept until you unsubscribe, and enquiry correspondence is kept only as long as reasonably needed to resolve and follow up on it.
7. Security
We take reasonable technical and organisational measures to protect your personal information against loss, unauthorised access, alteration or disclosure, as required by section 19 of POPIA. No method of transmission or storage over the internet is 100% secure, but we work to keep the risk as low as reasonably possible.
8. Direct marketing and unsubscribing
We only send marketing communications, like the newsletter, to people who have opted in. In line with section 45 of the ECT Act and section 69 of POPIA, every newsletter email includes a way to unsubscribe, and you can also ask us at any time — via email or WhatsApp — to stop contacting you for marketing purposes, and to be told where we obtained your details.
9. Your rights
Under POPIA, you have the right to:
— Ask us to confirm what personal information we hold about you, and request a copy of it;
— Ask us to correct or update information that is inaccurate, incomplete or outdated;
— Ask us to delete or destroy personal information we no longer have a lawful basis to hold;
— Object to us processing your personal information, including for direct marketing;
— Withdraw consent you previously gave us, at any time.
To exercise any of these rights, contact us using the details in section 1. We'll respond within a reasonable time.
10. Children's information
This website and our services are aimed at business owners and adults. We do not knowingly collect personal information from children.
11. Complaints
If you're unhappy with how we've handled your personal information, we'd appreciate the chance to sort it out directly first. You also have the right to lodge a complaint with South Africa's Information Regulator:
